Project Strategy:

We helped Zypp optimize its operations by leveraging our expertise in ERP solutions and tailored strategies.

To begin with, we conducted a detailed analysis of Zypp’s workflow inefficiencies, operational challenges, and specific business requirements. This enabled us to design an ERP strategy aligned with their goals for streamlined operations, better communication, and real-time decision-making.

Project Roadmap:

1. GST Compliance Reports & Low Stock Alerts

  • We developed an Odoo system that organizes companies by state, linking each hub to its address and GST number for easy tracking. A streamlined process manages both intrastate and interstate goods movement. Additionally, a new feature enhances delivery tracking, allowing one inventory manager to oversee multiple hubs, improving efficiency.
  • We introduced a system to maintain optimal stock levels across hubs with fixed safety stock quantities for each item. Automatic email alerts notified the Inventory Manager and Central Spares team when stock dropped below the threshold. Daily closing stock updates were automated, and the reporting system was made customizable by the super-admin for flexibility. This streamlined stock monitoring, communication, and efficiency.

2. Automatic Product Code & Cost Price Calculation

  • We introduced a system that assigns unique codes to items based on vendor and product type, ensuring easy tracking and management. A clear naming system makes each item identifiable and traceable, improving efficiency and organisation.
  • We introduced a smart logic to determine the Sale Price (SP) of any product, which updates automatically based on a set percentage of the Cost Price (CP), ensuring dynamic adjustments whenever the CP changes. To further enhance this feature, we explored its integration into the current system for seamless implementation within the existing workflow.

3. Customization in Stock Movement Process

  • We organized companies by state, added accurate addresses and GST numbers, and made HSN and GST fields mandatory for better tracking. This data was updated on Odoo. We also implemented a goods transfer process with a delivery challan feature and enabled one inventory manager to handle multiple hubs for greater efficiency.

4. Restricted Access & Data Validation

  • To fix the issue of not tracking price changes, we stopped allowing price changes during the purchase order stage. Now, any price updates must be made by the Admin in the Product Record before creating the purchase order. This ensures that the updated prices are reflected in the central system and in Odoo, solving the problem of outdated price lists.
  • The system was improved by organizing companies by state and mapping hubs with correct addresses and GST numbers. Roles were defined, and restrictions were set for each role to separate customer lists, vendor lists, addresses, and usernames. Existing lists were restructured to make everything more organized and easier to manage.
